Overview:

We are seeking a dedicated and efficient Band 3 Administrator to join our Bowel Cancer Screening team. The successful candidate will play a key role in providing high-quality administrative support, ensuring smooth daily operations, and maintaining patient-focused service standards in accordance with QA and JAG guidelines.


Key Responsibilities:

Administrative Support & Communication:

  • Provide essential admin support to the department, contributing to a patient-focused service.
  • Maintain a professional and corporate image at all times.
  • Communicate and collaborate with colleagues to enhance service efficiency.
  • Prioritise workload effectively to meet deadlines.

Systems & Data Management:

  • Use Trust IT systems (Cerner, Medilogik, National Summary Care Record, Sunquest ICE Desktop) for patient registration, appointment/result checking, and letter/questionnaire creation.
  • Maintain and update patient information using the National Bowel Cancer Screening System (BCSS).
  • Record patient feedback and comments from returned questionnaires with accurate data entry.
  • Update BCSS and Casper (Endoscopy referral system) with relevant episode notes.

Patient Coordination:

  • Assist Programme Coordinators in preparing endoscopy lists (updating demographics, printing wristbands/labels, and requesting GP summaries).
  • Admit and discharge patients via Cerner for accurate bed state records.
  • Validate and update 18 Week Wait pathways to ensure correct coding.

Communication & Confidentiality:

  • Handle high volumes of incoming calls, voicemails, and enquiries from patients, GP surgeries, and relatives with professionalism and courtesy.
  • Deal with sensitive patient information, maintaining confidentiality at all times.
  • Use email communication effectively to respond and forward relevant messages.

Administrative Duties & Support:

  • Open, prioritise, and action urgent incoming/outgoing post.
  • Support the Programme Manager with ad hoc administrative duties to maintain smooth operations.
  • Organise, monitor, and order stationery and Print Room supplies.
  • Manage daily patient refreshment orders from the Cafeteria using appropriate budget codes.
  • Organise weekly volunteer work schedules within the department.

Requirements:

  • Previous experience in an administrative healthcare setting preferred.
  • Proficient in IT systems and data entry.
  • Excellent communication and organisational skills.
  • Ability to handle sensitive information with discretion.
  • Strong multitasking and prioritisation abilities.

  • Excellent communication and interpersonal skills.
